Email Setup:

Using Outlook and Outlook Web Access:

The preferred method of accessing email within the District is via Microsoft Outlook and Outlook Web Access (follow the link on the school home page). If you use one particular computer the majority of the time see the Tech Coordinator to have Outlook set up on that machine. You will then be able to access all email, contact and calendar functions from any machine with internet access. If you need to import contact information or old mail see the Tech Coordinator.

When logging into Outlook Web Access you must supply a domain. If asked for only a username and a password, format the username in the form of your email address, (jsmith@belvideresd.org) then supply your regular network password. If you are presented with three logon boxes input your username (jsmith), your password, then the domain (belvideresd.org). The web access will work with any browser but will be more functional if using Internet Explorer version 5.5 or newer.

If you wish to use Outlook Express:

You can follow these instructions to set up and use your Belvidere email account at home also but you will not have access to existing mail or contact information.

Once Microsoft Outlook Express has been opened:
  1. Click Tools, Accounts.
  2. Click the Mail tab at the top, then Add, Mail on the right.
  3. You should now be in the Internet Connection Wizard.
  4. In the Name box, type your name as you wish it to appear when others receive email from you.
  5. In the Email address box, type: your username@belvideresd.org
  6. Click Next.
  7. The following bold information should be used to complete the next window:
    • Incoming Mail (POP3) Server: mail.belvideresd.org
    • Outgoing Mail (SMTP) Server: mail.belvideresd.org
    • Click Next.
    • The following bold information should be used to complete the next window:
      • Email Account: your username
      • Password: your password
      • Click Next.
      • You will be connecting to the Internet through a Local Area Network (if setting up at home this will probably be a modem).
      • Click Finish.

Profiles and Network Storage:


The school uses Roaming Profiles to enable you to access your email, desktop setup, favorites (bookmarked websites) and certain other settings no matter where you log on from. If you wish to save work or download something from the internet you should save it in your user folder on the server, not in your profile (these are two separate areas on the server). In order to use your profile properly follow these guidelines:

  • Always Log On and Log Off
  • Do not share your password
  • When saving, save to the bsdserver/users/students/(year of graduation) directory, then proceed to find your folder. This folder will be mapped to the U drive on your computer if you are using a Windows 2000 or XP machine, (You can browse to this directory by using the Windows Explorer.)
  • Do not save to the desktop!!

Phone Support:

Here are some tips for common phone usage.

  • To leave a staff member Voice Mail:
    • Press the Feature key
    • Enter 980
    • Enter the four digit Voice Mail Box number as per the Voice Mail Directory.
  • To access your Voice Mail:
    • Press Feature button
    • Enter 981
    • Enter password.
    • Press 2 to listen to new messages.
    • Press 8 to delete messages (Messages will be saved for 30 days if not deleted).
  • To access your Guest Mailbox
    • Press Feature button
    • Enter 981
    • Press *
    • Enter your mailbox and password (ex. 76030000)
    • Press 2 to listen to new messages.
    • Press 8 to delete messages (Messages will be saved for 30 days if not deleted).
  • To change your Greeting (similar to home answering machine):
    • Press Feature button
    • Press 981
    • Enter Password
    • Press #
    • Press 8 for mailbox administration.
    • Press 2 to record or change your personal greeting.
    • Press 1 to record a greeting.
    • Press 1 to listen to your current PRIMARY greeting.
    • Press 1 to record your greeting.
    • After the tone, record your greeting.
    • Press # when finished speaking.
    • Press # to accept your greeting.
    • Press * or hang up.
  • To change your name in the company directory (used for internal voice mail):
    • Press Feature key
    • Enter 981
    • Enter Password
    • Press #
    • Press 8 for mailbox administration.
    • Press 1 to record or change your name in the company directory (Mary Smith).
    • Press # when finished speaking.
    • Press # to accept your name.
    • Press * to exit or hang up.
  • To access an outside line:
    • Press Feature
    • Enter 68
    • Enter Six Digit Password
    • Press 9 (high school); 8 (Oxford Street); 9 (Third Street)
    • Dial telephone number
  • To cancel your calls being forwarded:
    • Press Feature
    • Press #
    • Press 4
